Overview
Responsible for management of IT Business Process team, supporting the IT Department with all its administrative requirements. Assists in maintaining the implemented processes shared between the different IT teams and sets regular checks/audits to ensure the service lifecycle match the business requirements (ITIL best practices). Works closely with the IT 1st & 2nd Level Managers and in their absence, deputises for them. Responsible for coordinating & managing the administration of the Firm’s fixed & mobile telecommunications (including Blackberry).
Main Responsibilities
Configuration Management - Inc. Asset & Licence Management • Responsible for maintaining an update Configuration Management Database (CMDB) • Keep track of software and hardware library (including assets/ 3rd party documentations & manuals /policies /handover form/ disaster recovery documentation/ 3rd party contracts). • Responsible for the overall quality control of IT documentation (checklists, acceptance forms, user guides and contracts etc), ensuring accuracy, regular review and update. • Run regular software and hardware audits and cross check against the CMDB. This should be done using an automated audit tool and should be carried out at least once a year. • Manage the hardware loan process, keeping track of all assets (laptop, desk printer, mobile and Blackberry). • Responsible for the IT store room and the management of hardware spares. • Collect the monthly reports from the Project, Infrastructure, Change & Support Managers and generate the IT departmental monthly report. • Keep the IT holiday rota up-to-date (including sickness, training days and lateness) • Responsible for keeping the IT Intranet page up-to-date, including the downtime calendar and Major Incident reports.
Purchase Order management • Management of Purchase Orders process and assist in vendor management (i.e. vendor details and contract renewal dates) • Responsible for the storage and safe keeping of vendor quotation using the CMDB • Enter new components into the designated CMDB • Regular liaison with vendors and assist with contract renewals • Liaise with IT Managers for invoice approval
Telephony (Blackberry & Mobile) • Responsible for the management of the entire Blackberry & Mobile device lifecycle (i.e. Purchase, troubleshooting, upgrade, retirement) • Liaise with providers • Participate in the contract renewals & tenders process, liaising with the Firm’s Contracts & Procurement Manager • Set and maintain usage billing threshold – exception reporting • Review regularly the relevance of the security policies
Telephony (Fixed Line, LAN & Video Conference ISDN Lines) • Liaise with providers • Manage the day to day operational aspect of the contract. • Involve in contract renewals & tenders, liaising with the Firm’s Contracts & Procurement Manager • Review and administer the annual budget • Review, manage, check and authorise where appropriate dispute bills • Set and maintain billing threshold – exception reporting • Review regularly the relevance of the security policies
Change Control management • Convene CAB meeting; inviting the people that should attend in accordance of the nature of the RFC (i.e. what is to be changed, who is affected by the change, people’s areas of expertise) • Create and distribute weekly RFC Report (i.e. list of Changes and their status Open/Hold/Close) and minutes for the CAB to review • Responsible for ensuring Change processes are followed be all parties, auditing and reviewing all implemented changes to ensure that they have met their objectives. Refer back and escalate any that have been backed out or failed. • Coordinate lessons learnt and flag unauthorised changes to CAB Committee
Budgetary Responsibilities
Financial Budget Control • Administration of the IT department budget • Coordinate budget forecasts and assist key IT managers in preparing their budget elements • Report regularly to IT Managers on variance to budget
Candidate Specification
Essential
• Experience in vendor engagement including contract/SLA, negotiation (contract management) • Knowledge & experience of administration aspect of telecommunications systems (fixed, mobile & Blackberry) • Analytical and logical approach to problem solving • Knowledge of ITIL methodologies • Excellent documentation skills with a thorough and logical approach • Sound numerical skills • Strong negation skills • Takes ownership, uses initiative and is proactive • Able to prioritise workload and work well under pressure
Desirable
• Knowledge of Prince2 methodologies • SupportWorks (ITSM) • Understanding of the business & potential outcomes to the business of unsuccessful changes • Exposure to accountancy and departmental financial reporting
