Background

You will work within the People Team and will be based in the London office. This role will support the Early Talent Manager to ensure that the firm recruits and develops high quality trainee solicitors. You will help to provide a proactive, high quality and forward thinking service to its internal and external clients. The People Team consists of 24 people across London and Bristol.

This is a good opportunity for an experienced administrator looking for a step up from their current role.

Key responsibilities

Supporting the Early Talent Manager throughout the annual trainee recruitment campaign. This will include:

Resourcing

  • Brand awareness - assisting the Early Talent Manager in planning the campus awareness strategy for the recruitment year. Includes booking law fairs and other on campus events, arranging recruitment collateral (brochures, exhibition stands, flyers, posters etc), making travel arrangements and attending various events across the UK (the majority taking place in October/November) as a firm representative
  • Summer scheme and trainee recruitment assessment events - working with the Early Talent Manager to shortlist and test applicants to attend each event. Responsible for managing diaries, booking interviews, setting up psychometric tests, collating reference information, collating packs of assessment materials for both candidates and assessors. Will also perform a role within the assessment team as Centre Co-ordinator on each event
  • Summer scheme & open day programme - working with the Early Talent Manager to plan the programme of events for each summer scheme and open day. Organisation of all events, both internal and external, collation of student packs, assist in firm communications and sending out of pre-joining information
  • Work experience programme - managing all legal work experience requests (outside of the firm's formal work experience programme) on behalf of the People team and coordinate all arrangements / administration

People Service

  • Pre-joining programme - working with the Early Talent and Learning & Development teams in the organisation of pre-joining events for future trainee intakes (currently 4 events per annum). Includes managing diaries, booking rooms, designing invites, liaising with attendees, booking social venues etc
  • New starter programme - assisting in preparation of People elements of trainee induction each September.
  • Seat spotlights - assisting the Early Talent Manager to organise the annual round of Seat Spotlights for first seat trainees. Involves liaising with legal groups, booking rooms and refreshments.
  • Works closely with the Early Talent Manager to assist with the development and delivery of the advisory service, to include; seat deployment, trainee forum attendance, group benchmarking meetings, NQ planning, trainee seat reviews etc
  • Works with key stakeholders across the relevant clients teams to deliver a high quality People service, developing a proactive and user friendly service

People Processes

  • Key super user of online recruitment systems (CVMail, RARE Recruitment and SHL testing to process candidates through the various stages of their application (submission, form updates, tracking firm contacts, testing, interview scheduling, assisting with offers, reporting etc)
  • Manages the starter/leaver/seat move/secondment process for the client group including paperwork and system updates
  • Dealing with ad-hoc enquiries submitted via website or by telephone and escalating where appropriate.
  • Organising bursary and maintenance payments for future trainee intakes
  • Ad-hoc correspondence - initial offer paperwork, references (via ADP Sterling Backcheck) firm updates, invites to pre-joining events, pre-joining instructions, congratulation cards & gifts
  • Setting up e-files for new trainee intakes and ensuring they are up-to-date and accurate
  • Maintaining accurate e-files of candidate details and scanning relevant information onto the system
  • Any other ad-hoc duties and support on early talent recruitment projects that may be required.
  • Invoicing & expenses, administrating all expenses and invoices for relating to trainees.

Other

  • Understands and can operate the firm's HR systems to enable them to carry out the role efficiently and effectively
  • Involved in developing and delivering on People projects

Experience:

  • Educated to degree level or equivalent
  • Previous events, marketing, HR or recruitment experience within a professional services
