The role

In this exciting, newly created position you will work closely with the People Operations Lead to develop a first-class People Operations service which is consistent across all our offices and can be easily scaled to support future business growth. You will be involved in automating and streamlining processes, creating global operating standards, and introducing a HR case management system.

You will be the go-to person for all aspects of the employee lifecycle and ensuring operational excellence and regulatory compliance throughout. This an extremely varied role and will include managing a small team of People Assistants and a Reporting Executive.

Responsibilities include:

People operations

  • Work with the People Operations Lead to develop a globally consistent, efficient and client centric operational HR service
  • Manage projects to design and implement operational, systematic, and administrative efficiencies
  • Ensure the starter, mover, leaver transactional processes are delivered with accuracy, timely and in line with agreed global standards
  • Manage the people team inbox and ensure timely response to queries and execution of requests
  • Review workloads to ensure that work is evenly distributed and operate a flexible approach to sharing resources across the broader P&TD team e.g., to handle peak demand, cover for absences, support on ad-hoc projects etc.
  • First point of contact for People Advisory Teams, Partner Talent Team, and other business services teams i.e., IT, Payroll/Finance and Facilities on any issues with starter, mover, leaver processes
  • Investigate issues and find appropriate solutions; identify areas for continual improvement
  • Oversee payroll changes ensuring that all data is processed accurately
  • Maintain a close liaison with the People Advisory Managers and Partner Talent Team to ensure that the operational HR support for the business areas that they support is efficient and effective and help to harmonise different ways of working across teams
  • Facilitate the relationship between the people team and external immigration counsel and provide updates on any changes to sponsored workers or right to work checks
  • GDPR champion for the team, working closely with the People Operations Lead and Data Protection Officer, as required, to ensure compliance and best practice across people processes
  • First point of contact for IR35 queries, including liaising with payroll on any tax implications
  • Work in collaboration with the Information Security team to ensure all people processes are compliant e.g., background screening and leavers
  • Support the People Operations Lead in developing the P&TD online filing system (iManage) and standards for filing documentation
  • Ensure all people policies, templates and forms are kept updated and accessible; draft new policies, as required
  • Maintain P&TD intranet pages ensuring they are kept up to date, engaging and informative
  • Produce communications on behalf of the wider people team as and when required

HR information systems & reporting

  • Support the People Operations Lead with streamlining and automating processes and the rollout of any new HRIS modules
  • Oversee the implementation of systems documentation such as user guides and workflows
  • Oversee the production of regular and ad-hoc reports, management information and data analysis and interpret data in a clear and meaningful way to help inform decisions
  • Liaise with other business services teams on data that is cross functional e.g., Finance, IT, as required

Team management

  • Identify individual learning and development needs and take steps to address proactively ensuring timely feedback is given
  • Provide guidance, coaching and mentoring to People Assistants across all relevant HR disciplines
  • Conduct regular Quarterly Conversations (QC's) for direct reports

Skills, experience and attributes

  • Experience of working within a HR shared services (Operations) team (E)
  • Demonstrated ability to implement new processes, initiatives, or programmes (E)
  • Excellent HRIS (SAP Success Factors desirable) and Microsoft office skills (E)
  • Experience with ServiceNow or other HR case management tools (E)
  • Collaborative and adaptable approach with a global mindset (E)
  • Good understanding of UK employment law, UK immigration regulations and GDPR (E)
  • Comfortable juggling multiple tasks, work under pressure and meet deadlines (E)
  • Proactive, problem-solver with the confidence to take ownership of tasks/projects and drive them forward (E)
  • Demonstrates initiative and can proactively contribute ideas, views, and recommendations (E)
  • Excellent interpersonal and communication skills (both verbal and written) with demonstrated ability to navigate and work effectively at all levels (E)
  • CIPD qualified (D)
  • Familiar with Visio and PowerBI (D)
