Job Title Personal Assistant – Commercial & Infrastructure

About the role

In this role you will support our lawyers in the Commercial & Infrastructure department with a variety of tasks, which will enable them to provide seamless legal services to our clients. The hours are 36.25 per week, working 7.25 hour shifts between the hours of 08:00 and 18:00 Monday to Friday.

Main responsibilities:

  • Be involved in all aspects of the management and execution of day to day activities for our lawyers in the Commercial & Infrastructure department
  • Play a key role in the care of our clients
  • Anticipate and manage all areas of diary management
  • Take internal and external telephone queries and respond appropriately
  • Monitor incoming post and emails and handle appropriately
  • Arrange meetings, book conference rooms, organise refreshments and liaise with internal and external attendees
  • Assist with the billing and credit control process
  • Request cheques and bank transfers
  • Organise travel arrangements including booking transport, hotels etc.
  • Arrange and carry out administrative support such as photocopying, printing, sending letters, organising couriers and data entry
  • Arrange general filing requirements and record keeping
  • Support marketing activities such as pitch and presentation preparation
  • Liaise with Business Development and Marketing colleagues on arrangements for events and producing marketing material

The ideal candidate

  • Previous experience as a Personal Assistant, ideally within a legal or professional services environment
  • A working knowledge of Word, Outlook and Excel
  • Able to work to deadlines and prioritise own workload effectively
  • Enthusiastic, pro-active and flexible
  • Willing to contribute and support others as part of a team
  • Confident verbal and written communication skills
