Capula are looking for a Receptionist to join our London office. The
role of the Receptionist is to ensure that an exceptional service is
delivered through proactive and competent administrative support
within the front of house reception desk. The hours of the work will
be from 10:00-19:00.
Duties and responsibilities:
To work as a team with one other receptionist to provide an
efficient front of house service, greeting clients and employees of Capula
Answer the switchboard for all incoming calls and to distribute
messages accordingly
Assist in the management of meeting rooms and diaries, ensuring no
duplications or overlaps and that cancelled meetings are reflected
in the diary
Set up and clear up meeting rooms at the start and end of every day
Ensure that meeting rooms are fully stocked of refreshments, tidy
and presentable at all times
Provide guests with refreshments
Manage the incoming of courier packages and post and communicate
the arrival of new items to relevant staff members
Help set up meeting rooms for client/ board meetings
Share responsibility for arranging monthly birthday cake and
sending out monthly birthday email
Ensure the stationery areas are tidy and well stocked at all times
Assist with ad-hoc printing, filing, archiving, as and when required
Set up video conference calls as and when required
Share responsibility for ordering business cards for new and
existing employees
Provide support for the administration team when needed
Flexibility required with hours when other Receptionist is away
On an ad hoc basis, will be required to help with aspects of the
building management
Note that in addition to these duties employees are required to
carry out such other duties as may be reasonably required.
Education and Qualifications
Educated to minimum GCSEs or equivalent
Experience
Previous front of house experience gained within professional services
Previous exposure to basic administration tasks
Skills
Ability to juggle several tasks at once
Ability to stay calm under pressure
Friendly, approachable manner
Flexible
Strong Microsoft office suite skills (Word, Excel, Power point)
