Role: Early Careers Recruitment Senior Coordinator

The Team

The HR team in the UK consists of over 100 people. We have specialist teams in Operations, Recruitment, Early Careers Recruitment and Development, Learning and Development, Systems and MI and Reward.

The candidate will work closely with other members of the Early Careers (EC) Team, focusing on the recruitment side, providing key operational and administrative support for our attraction, selection, programme management, diversity & inclusion, and online digital presence. The role will report into the EC Recruitment Manager and will be supported by our EC Advisor and other EC coordinator. The team works closely with our EC development team, our inclusion team, as well as our brand and communications team and key stakeholders from the business. It is a busy and growing team, and a flexible and proactive approach is required.

Key Responsibilities

General

  • Respond to candidate and stakeholder queries regarding the recruitment process
  • Produce and maintain process maps and documents, support with training new members of the team
  • As the process expert, look for ways to continuously improve processes and programmes
  • Ensure all trackers and systems are kept up to date, so data reports are correct
  • Manage the expenses and invoices for EC Recruitment, working closely with the accounts team to ensure timely payment and accurate recording on our tracker

Assessment and Selection

  • Work with the D&I team to ensure our application form and process is inclusive and look for ways to improve inclusivity; ensure requests for reasonable adjustments are actioned and we track those candidates through the process to give extra support when needed
  • Create and post new job requisitions, checking all information is correct by liaising with relevant internal stakeholders
  • Build a strong relationship with our account managers at our assessment provider and assessment platforms, working to resolve any issues quickly
  • Responsible for screening top performing candidates, checking eligibility for programmes. Seeking guidance from EC Advisor when needed to ensure correct criteria is used
  • Liaise with internal stakeholders to schedule assessment centres and support EC Coordinator with scheduling the AC exercises
  • Responsible for collating and managing all candidate and interviewer admin
  • Provide detailed feedback to candidates following assessment centres

Events and Programmes

  • Attend various in-person and virtual events to represent the firm, including delivering skills sessions and workshops
  • Work closely with Employer Brand team to share information on volunteers for events
  • Design, plan and facilitate Insight Days, working closely with the Employer Brand team to ensure they are promoted, and sign ups and joining links are managed effectively
  • Support the EC Coordinator with booking rooms, socials and catering for events
  • Assist the EC Advisor in organising and running all our recruitment programmes. These include our Bright Futures Programme, Insight Days, University Events, and Vacation Schemes.
  • Liaise with key stakeholders to get their support in delivering sessions to students

Processes

  • Draft and send new joiner paperwork for programmes and Training Contracts
  • Oversee the Agenda background checks for our programmes, liaising with the risk team when necessary
  • Liaise with relevant internal departments such as; payroll, Finance, IT and the general HR team to ensure smooth onboarding - upskilling the rest of the EC team when needed
  • Ensure the leaver process is completed for those on our programmes
  • Responsible for ensuring all future trainee information is correct on trackers and in their files, providing EC development team with a formal handover of the new hires

Essential Skills & Experience

  • Confident and proven administration experience within a fast-paced recruitment or HR environment, ideally within a law firm or other professional services. Previous Graduate/Early Careers Recruitment experience is advantageous.
  • Excellent organisation, analytical and administration skills with high attention to detail.
  • Ability to work to tight deadlines in a fast-moving environment.
  • A strong team player with a flexible approach.
  • Positive attitude with the ability to manage conflicting priorities and deal with pressure.
  • Self-motivated and pro-active.
  • Responsive to tasks with a can-do attitude.
  • Flexible, as travel is required within the U.K., and events may take place outside of usual working hours.
  • Confident and personable, with the ability to act as a strong brand ambassador for the firm.
  • Excellent communication skills, both verbally and in writing.
