Role: Personal Assistant

Contract: 12 Month FTC

This role requires someone who has the ability to support individuals with extremely busy work schedules, using their own initiative where appropriate, in addition to prioritising their own working day. It is essential that the individual can deal professionally with Partners and Managers in the firm as well as external contacts, building strong relationships with the key people for whom they work, and delivering high quality work quickly and accurately.

Key Responsibilities

  • To form an effective team with members of the Senior Management Team to maximise their effectiveness and enable them to achieve their objectives.
  • To establish a good understanding of the global business, the key individuals within the business and maintain good relationships both internally and externally.
  • To use this understanding as a means of prioritising work and building the necessary knowledge to exercise judgment in daily requirements and tasks.
  • Provide comprehensive support and assist in project managing a number of key projects such as firmwide Townhall updates, Global Partner Conference and transformational change projects.
  • To be proactive in progressing beyond a narrow PA role; be willing to take on responsibility and demonstrate ability in order to build trust.
  • To take responsibility, on behalf of the Senior Management Team, for the delivery of key action points which will necessitate influencing and persuading others to deliver against their objectives.
  • Efficient and proactive diary management and co-ordination for members of the Senior Management Team and act as a robust gatekeeper.
  • Arrange and coordinate meetings and follow up and progress action points where necessary. Monitor and maintain outlook emails and calendar.
  • Preparation of paperwork for meetings and projects.
  • Draft reports, attend meetings to take minutes and prepare actions, presentations, emails and correspondence for the Senior Management Team.
  • Establish and maintain comprehensive paper and electronic filing systems.
  • Manage and process cash expenses.
  • Make necessary travel arrangements (including international travel).
  • Provide support to the wider teams on projects as appropriate.
  • Arrange regular team updates, knowledge sharing sessions, and team socials.
  • Any other duties as requested

Skills & Experience

Essential:

  • Proven experience providing support to senior levels of management e.g. Partners, Directors Board Members, Senior members of staff and external contacts
  • Ability to understand business objectives and priorities
  • Capable of offering solutions to business issues/problems
  • Able to interpret high level instructions into tangible tasks
  • Meticulous attention to detail and excellent organisational skills
  • Ability to prioritise own workload effectively
  • Professional and confidential
  • Proactive and uses own initiative
  • Calm and confident in pressurised situations
  • Advanced knowledge of Excel and PowerPoint, and email systems
  • Strong knowledge of MS Word.
  • Excellent spelling and grammar

Desirable:

  • Graduate qualification (or similar)
  • Experience within a Professional Services, Legal or Partnership environment
  • 65 wpm copy typing
