The Role

This is a non-exempt/overtime-eligible, permanent full-time position with a hybrid work mode consisting of minimum 3 days per week onsite at the Toronto office.

The legal assistant will be supporting a team of lawyers and/or partners whose practice areas include commercial insurance coverage and civil litigation. In this role, the assistant will be involved in a variety of tasks, including the preparation of letters and proceedings, the organization of client and lawyer files, managing lawyers' calendars and their client contact lists along with some administrative duties, amongst others.

Key Responsibilities

  • Managing lawyers' calendars by scheduling appointments, court appearances and litigation deadlines;
  • Following-up with lawyers to ensure deadlines are met;
  • Preparing standard litigation proceedings, first drafts of various pleadings, orders and other court documents;
  • Compiling motion records, briefs and all;
  • Transcribing letters and dictated proceedings;
  • Typing and editing correspondence and documents;
  • Reviewing documents and correspondence to ensure compliance with legal procedures and correct grammatical usage;
  • Opening/closing files, filing (both paper and electronic), tracking and organizing case files;
  • Preparing client files (correspondence, supporting documents, etc.);
  • Managing phone calls, email and other correspondence;
  • Organizing and coordinating meetings between lawyers and clients;
  • Assisting in the scheduling of examinations for discovery;
  • Handling certain invoicing procedures;
  • Organizing business travel for lawyers if needed, arranging meetings, etc.;
  • Providing support to other people in the office or from different departments as necessary;
  • Entering data in multiple systems as for instance for billing and time entries;
  • Carrying out or providing support for conflict of interest searches as needed;
  • Carrying out other general administrative tasks as required by the firm.

Essential Skills & Experience

  • Legal Assistant Diploma/Certificate from a Community College or the equivalent;
  • Minimum of five (5) to ten (10) years of relevant experience as a Legal Assistant, ideally in the field of commercial insurance coverage and civil litigation;
  • Impeccable English grammar with excellent verbal/written communication and proofreading skills;
  • Knowledge of the Ontario Rules of Civil Procedure;
  • Ability to file court documents on the Ontario portal;
  • Intermediate or advanced knowledge of Microsoft Word, Outlook & Office Suite, as well as of other systems used in a law firm;
  • Working knowledge of Caselines;
  • Ability to handle dictations efficiently;
  • Handling and prioritizing workload while working under pressure of tight deadlines in a fast-paced environment;
  • Attention to detail and proactive case management;
  • Excellent multi-tasking and problem-solving abilities;
  • Behaving in a professional manner with lawyers, clients and other team members at all levels;
  • Team-spirit, strong sense of collaboration and positive, "can-do" attitude.
