This role reports to the Regional
Head of working Capital and is supervised by senior members of the
Matter Finance Data team. This role is part of a team that optimises
client experience by building and evolving world class capabilities
for engaging new clients and opening new matters. The role is based
in our Sydney office and will cover activity in our APAC offices
(Australia, Hong Kong, Singapore, China and Thailand).
This role is available for a period of 12 months to provide cover for
a colleague who is going on maternity leave. It is ideal for a well
organised candidate with a strong attention to detail who also
understands the importance of the role in our commercial success. The
candidate should be comfortable communicating with people at all
levels of the firm and collaborating across various cultural backgrounds.
Key responsibilities
Conducting the matter finance
data checks for all APAC offices, including:
Daily review of new matters
Management of shared mailbox
Communication with front
office to resolve queries related to the matter opening process
Maintain log of common
issues resolved
Review 'out of scope'
matters on a weekly basis
Identifying and resolving or
escalating any risks supported by suggestions of what could be
done to avoid or mitigate the risk, including:
Regular meetings with the
other members of the Matter Finance Data team to share issues
and discuss solutions
Updating process documents
relating to:
Practice Group Mapping
Section & Department Mapping
Common Payors
Key Clients
Standard Rates
Billing Arrangements
Billing Frequencies
Assisting with rates requests
for all APAC offices, including:
Checking client agreements
Verifying rates on matters
Actioning time-sensitive
updates for month-end billing
Billing for Australian partners
using various billing workflows, including:
Joint billing
Split billing
Multi-payor billing
Assisting with the E-billing
function across Australia by completing tasks such as:
Onboarding e-billed clients
Generating LEDES files
Uploading to various
platforms including Tymetrix, Brightflag, LegalX, etc.
Checking status of e-billed
invoices and forward emails from platforms (rejections,
approvals, remittances)
Actioning write-off requests,
matter closures and time transfers
Processing bill reversals and reissues
Ad hoc reporting of financial information
Building and maintaining
effective relationships with Partners and the Practices across
the region
Collaborating effectively
with colleagues within the practice as well as other finance
and business support teams
Candidate profile
A minimum 1 years' experience,
at least one of the following:
legal services finance, e.g.
opening legal matters or billing
an operational role with a
demonstrable track record of consistent delivery, continuous
improvement and problem solving
insurance claims
Highly motivated with a
positive, 'can do' attitude
Committed to quality and
attention to detail
Clear, concise written and
verbal communicator
Comfortable working in a high
volume, fast paced environment
Fast learner of new technology,
strong excel and proficient in other Microsoft Office applications
Demonstrated teamwork and
collaboration skills, as well as the ability to work independently
Knowledge of Thomson Reuters
Elite 3E would be advantageous but not essential
Written/verbal mandarin would be
advantageous but not essential
