The Human Resources Coordinator
plays a key role within the North America HR Operations team in
support of both the U.S. and Canada. This position focuses on
coordination of various HR processes, including administrative
support, data maintenance, document management, joiner onboarding,
leaver offboarding, general reporting, assisting with projects, and
tasks across all general and specialty areas of HR.
Responsibilities
Specific responsibilities
include, but are not limited to:
Maintain employee data across
various HR systems, through accurate and timely input. In
coordination with other teams, perform audits/reconciliations to
validate data, ensuring data integrity across systems of record.
Review of time off requests to
ensure compliance with relevant policies and work to resolve questions.
Prepare and distribute recurring
reports across various functional teams. Assist with the
production of ad hoc reports as needed.
Produce bi-weekly changes form
and collect supporting documentation needed for submission to
Payroll for processing. Track one-time payments related to HR
programs, such as referral and wellness, for payroll inclusion.
Maintain information held on HR
intranet pages and internal communications platforms.
Co-manage shared HR email inbox
for North America, providing prompt attention to all tasks and queries.
Coordinate onboarding tasks,
including initiation of background/conflicts checks, IT equipment
setup, and communication with joiners on starting schedules,
day-one activities, and required paperwork.
Coordinate off-boarding tasks,
including scheduling of exit interviews, notifying relevant
parties of departure, technology collection, and processing
leavers through HR systems.
Assist cross-functionally across
HR teams as needed with various tasks.
Perform various administrative
tasks in support of wider HR teams, including scheduling, running
reports, filing, organizing meetings, ordering gifts for employee
life events, and collaborating on employee engagement activities
and events.
Create surveys and
communications as requested/needed for the Firm and HR teams.
Manage HR gift programs through
inventory control and coordination with outside vendors and
Workplace Services teams across all regional offices.
Respond promptly to all
employment verification requests, while adhering to Firm protocol.
Keep accurate and organized
personnel records, files, and documentation.
Ensure exceptional customer
service is delivered to all levels of the Firm.
Identify improvement
opportunities, implement solutions, and develop standard operating
procedures aligned with best practices.
Qualifications
High school diploma or GED
required. Bachelor's degree in HR, business, or related field is preferred.
1+ years in an HR
coordination/support or similar business role, with a genuine
desire to work and develop their career within Human Resources.
Experience with HRIS/Payroll
systems, especially ADP Workforce Now or Workday is preferred.
Proficient with Microsoft Excel
and other Microsoft Office products.
Excellent interpersonal skills
with an ability to work effectively across all levels of the Firm,
whether it be internally, externally, regionally, or globally.

deadlines and manage competing priorities.
