The Department

The Dusseldorf office focuses primarily on (re)insurance work, including claims, product development and other non-contentious advice, in particular on Financial Lines (D&O, E&O, Fidelity, etc), Professional Indemnity, Product and Property Liability. The team also has expertise in the fields of reinsurance and regulatory law and acts in relation to general commercial disputes with a focus on domestic and international litigation and arbitration work.

The Role

A busy secretarial role delivering efficient and effective secretarial support and administrative assistance to the Lawyers. Responsibilities will include the organisation of client files, billing and financial administration, and diary and travel coordination. Working closely with the other 2 secretaries, a finance assistant and the team of Lawyers, the individual should be flexible, proactive and a team player. The successful candidate will be expected to produce high quality work which is turned around quickly and accurately.

Key Responsibilities

  • Working on litigation/arbitration disputes and claims
  • Document production/typing: digital dictation; letters; emails; reports; court documents and forms; amending documents; producing presentations and spreadsheets
  • Answering and filtering telephone calls: liaising with external and internal clients and their secretaries; monitoring voicemail; dealing with queries and relaying messages
  • Incoming and outgoing correspondence: monitoring post; electronically scanning and saving post items to document management system; sending faxes; organising out-going post, DX and couriers; monitoring email and taking action when required
  • Diary management: arranging internal and external meetings, booking meeting rooms, organising lunches, booking taxis; preparing paperwork
  • Travel: booking transport and accommodation; organising currency; arranging visas; preparing itineraries
  • Billing administration: processing third party invoices; preparing billing guides; checking bills and narratives; preparing covering letters
  • Filing: maintaining electronic filing; filing emails to the document management system; ensuring all documents and correspondence are filed in appropriate folders; maintaining paper files; indexing; trial bundles; bibling; archiving
  • Client records: maintaining and up-dating client contact lists / Interaction contacts database
  • Timesheets: inputting time into time recording system on a daily/weekly basis
  • Expenses: compiling and processing receipts; completing relevant forms; liaising with accounts; collecting cash
  • Photocopying/printing/scanning: printing documents from document management system/email/disk/USB; photocopying/printing bundles/files; binding; scanning documents to be sent via email
  • Prioritisation: managing and prioritising own workload to ensure work is turned around within agreed deadlines and timeframes
  • Communication: maintaining open and appropriate communication lines with internal and external clients at all times
  • Teamwork: working as part of a team with other secretaries to ensure the firm's needs are met
  • Assisting with personal correspondence, diary commitments and other duties when asked


Candidate Profile

The ideal candidate will have:

  • Fluency in both spoken and written English and German
  • Proven legal secretary experience
  • Accurate typing (minimum speed 60 wpm)
  • MS Office skills (Outlook, Word, Excel and PowerPoint)
  • Experience of digital dictation
  • Excellent spelling and grammar
  • Strong knowledge of legal terminology
  • Attention to detail with a high level of accuracy
  • Excellent organisational skills
  • Excellent communication skills
  • High level of initiative and pro-activity
  • Ability to be calm and retain a professional attitude under pressure
  • A flexible, committed and positive attitude
  • Ability to work well in a team


The ideal candidate will preferably also hold a formal legal assistant/ Rechtsanwaltsfachangestellte qualification.
