The Firm seeks a Complex Billing Coordinator to work directly with the partners of a very specialized practice group to handle a multitude of client billing responsibilities that are highly complex in nature, come with varied requirements and many moving pieces that require, and must be done accurately and timely.

Clyde & Co shifted to virtual work for the majority of our lawyers and business services team with the global outbreak of Covid-19. This precaution was taken to help protect our people, clients and communities. It is likely that this role will start virtually while the firm continues to evaluate the situation.

Specific responsibilities include the following:

  • Generate and distribute pre-bills on a monthly basis, and as requested for a high-volume business with multiple sub files and multiple market participants
  • Review matter setups and pre-bills for accuracy - including rates, cost exceptions, and billing instructions based on client guidelines and/or engagement letters
  • Generate and distribute pre-bills on a monthly basis, including split and joint bills
  • Process time/cost edits, such as: narratives, transfers, write-offs, adjustments
  • Aggregate, compile and summarize receipts and documentation for third party expenses to be billed to clients
  • Prepare final invoices for Partner approval and process in 3E
  • Generate client statements as requested, and prepare summaries/cover sheets illustrating total fees and total expenses incurred and/or billed
  • Manage and maintain proper hourly rates in systems on all relevant matters; maintain and update billing instructions in 3E as required
  • Prioritize tasks to ensure invoices are distributed, mailed or e-Billed timely
  • Maintain billing files and retrieve back-up for the group, timekeepers, audits and other inquiries
  • Ensure alternative fee arrangements (AFAs) are set up where applicable; compliance with client's billing requirements (i.e. time increments, frequency, invoices, templates, etc.); update billing protocols as needed
  • Work closely with attorneys, clients, legal assistants, e-billing, and collections staff to assist with client billing and collections
  • Work as requested, on special projects, analysis and implementation of special billing requests for the specialized practice group(s)
  • Handle internal and external billing inquiries, client accruals, and account analysis/reconciliations
  • Maintain confidentiality in all client and Firm matters

Qualifications:

  • Bachelor's degree in Accounting or Finance preferred; relevant work experience in law firm billing will be considered in lieu of degree
  • Minimum of three to five or more years' law firm billing experience; billing experience with other professional services firms may be considered in lieu of law firm
  • Experience with complex billing needs and requirements, including ability to manage lots of moving pieces for a specialized practice group whose billing needs require very specific instructions and processes that differentiate from a regular billing cycle process
  • Client service-oriented and self-motivated individual who consistently performs with a high sense of urgency and pride in their work product
  • Capable of exceeding expectations of internal (partners and attorneys) and external (clients) constituents on a regular basis
  • Excellent communication and interpersonal stills, and an ability to establish and maintain relationships with partners, attorneys, finance staff, clients, brokers, and other third-party vendors
  • Experience with Elite 3E software desirable, but not critical
  • Demonstrated understanding of complex billing and/or e-Billing (Tymetrix, Serengeti, etc.) systems and processes with multiple workflows is desirable
  • Ability to manage and prioritize tasks, with excellent time management skills to complete projects in a timely fashion
  • Must be flexible to work outside of scheduled hours.
  • Must have advanced proficiency in Excel preferred.
