The Team

This role is part of the Organizational Change Management (OCM) team within the Program Management Office (PMO) within the Information Technology (IT) department. The IT PMO oversees the delivery of all IT projects for the firm and encompasses the Project Delivery team, Business Analysts team, Centre of Excellence team and IT Training team.

The Role

The Organizational Change Management Communication Specialist's primary focus is on people and communication. The OCM Communication Specialist works across global IT project delivery teams and supports the overall OCM communication approach to increase effective communications, ensure faster adoption and (ultimately) sustained behaviour change for the new processes and technologies through:

  • The development & maintenance of communication plans, tools/templates standards and processes to increase efficiency, adoption and understanding of the organizational change management activities within the OCM methodology
  • The creation and execution of awareness campaigns and targeted deployment communications to minimise employee resistance and maximize employee engagement
  • The creation, development and implementation of communication plans, campaigns and monitor their effectiveness across multiple projects
  • The provision of appropriate training to drive faster adoption and higher end-user proficiency
  • Assist with OCM deliverables execution on assigned IT projects

The OCM Communication Specialist will provide communication, tools/templates and processes across OCM team, IT projects and the impact of the IT project portfolio across geographies and departments.

Key Responsibilities

  • Assess, strategize, plan and execute needed OCM communication activities within projects to promote and ensure faster adoption and (ultimately) sustainment implemented changes
  • Creation of surveys for baseline dataset and on-going measurements via MS Sharepoint and MS Forms
  • Design, implement and maintain sharepoint sites, lists, power apps and power automate
  • Create, implement and maintain communication material for end-user engagement as part of new technology deployments
  • Performs business impact analysis during the early stages of IT projects to assess the need for OCM support and to inform project OCM plans
  • Executes OCM strategies to mitigate resistance and foster a positive acceptance of change
  • Engages effectively with senior business leaders on the importance of the sponsor's role in implementing the change successfully
  • Works with communication, training, and HR specialists to define IT project OCM plans
  • Works with other members of IT project teams to integrate OCM activities into the overall project plan
  • Maintains a strong awareness of any risks, issues and dependencies associated with the execution of the OCM components of project plans, and escalates when necessary
  • Defines target benefits of the new technologies to be deployed, measures the actual business value realised post-deployment, and recommends changes to address missed ROI opportunities
  • Contributes to project Lessons Learned workshops and After-Action Reviews to capture learnings that can be applied to future projects to improve success
  • Ensures OCM methodology, processes and deliverables are incorporated into the IT project delivery methodology
