The Role: IP Records Administrator - Dubai

The Team

  • Working in the Intellectual Property Technology Commercial (IPTC) team supporting the IP Operations Manager with the day-to-day management of the department records function.

Key Responsibilities

  • Daily monitoring of department email inbox;
  • Creating new records relating to patents, registered design and trade marks in WebTMS
  • Updating and maintaining the electronic trade mark, design and patent records on the database (WebTMS) and liaising with secretarial support to update CRM database (Interaction).
  • Be the main point of contact for WebTMS; create new joiner log-ins, update leavers and maintenance of WebTMS templates
  • Manage official correspondence received from foreign agents; including extracting key information and entering into WebTMS;
  • Timely and accurate entering/removing/amending of data in WebTMS system, including appropriate file notes.
  • Managing portfolio transfers, ensuring all record are captured accurately
  • Creation of monthly client reports from WebTMS
  • Upload official documents to WebTMS
  • Manage the daily diary reminder system for the case handlers and paralegals;
  • Liaise with case handlers to ensure client information is accurate and up to date;
  • Checking and reporting foreign certificates and other official documents.
  • Requesting fee quotations from foreign agents and seeking favourable rates, track requests
  • Maintenance of department precedents and storage thereof in iManage
  • Setting up CompuMark watch services and monitoring the renewals thereof;
  • Weekly finance reconciliation
  • Ad hoc administration tasks as required.

Candidate Requirements

  • 3-5 years working in a record data entry position;
  • Experience in IP record software e.g. WebTMS or similar IP records management system
  • Exceptional attention to detail
  • P roactive and well-organised with the ability to manage a heavy workload and conflicting priorities;
  • Self-motivated and be able to work under minimum supervision;
  • Ex cellent spoken and written English;
  • Written and spoken Arabic is desirable;
  • Co mputer literate with good Microsoft Office skills
