POSITION OVERVIEW
Our dynamic London office is seeking to add a Legal Recruiting
Assistant. This individual will join a tightly knit local team which
partners closely with the broader Firmwide Legal Recruiting and
Development Department (LRD).
This position is responsible for assisting the overall administration
of the lateral attorney recruiting process.
The ideal candidate will be highly organized, possess excellent
proofing and communication (oral and written) skills; the ability to
multitask in a fast-paced environment; a very strong attention to
detail; and a professional demeanor. Additionally, the ideal candidate
will possess strong interpersonal skills with the ability to build
relationships among lawyers and staff to achieve results. This
position requires collaboration with attorneys and staff and the
ability to exercise independent judgment. It also requires a
significant amount of overtime during our busy summer and autumn
seasons if required.
SPECIFIC JOB DUTIES (This list is not exhaustive
and may be supplemented and changed as necessary).
Lateral Recruitment and Onboarding
Responsible for arranging inductions for all new attorney joiners,
which will include: scheduling the inductions via Outlook, producing
the new joiner welcome packs and and keeping up to date with time
changes/room bookings etc.
Responsible for sending communications to new joiners ahead of
their first day, dealing with pre-joiner queries and also sending
reminders to relevant teams ahead of start dates.
Responsible for preparing and sending an office-wide welcome email
for new joiners.
Responsible for helping the team with collecting pre-joiner
information as needed; arranging accommodation and relocations and
ensuring the team OneNote tracker is up to date.
Working with the team on collating pre-screening/background/DBS
and conflicts checks for all new joiners.
Responsible for helping the team conduct the necessary right to
work checks.
Working with the team to arrange interviews - including liaisng
with partners, secretaries and recruiting agencies. Responsible for
arranging zoom links/room bookings, sending internal interview
reminders, greeting candidates on arrival and collating interview
feedback post interview.
Responsible for adding all lateral candidates to our international
database and updating throughout recruiting process until hired.
Regularly check and manage our CV portal for new applications, and
download, review and summarise CVs to be sent on to the partners.
Maintaining the internal Practice Group Chart and individual group
charts with leavers/joiners/transfers etc.
Help to produce monthly reports tracking recruitment across the
international offices.
Help to recruit document reviewers and contract attorneys on an ad
hoc basis, often at short notice.
Where needed, help to support the team members involved on the
graduate recruiting side, which may involve some attendance at law
fairs or other graduate events if needed.
Ensuring excellent DMS (Document Management System) filing of
important emails and documents.
Excellent updating of other firm tracking systems such as OneNote
and SilkRoad.
Dealing with expense and invoice processing for the team.
Undertaking any other tasks or responsibilities that reasonably
fall within the remit of this position.
QUALIFICATIONS
Proven experience in a law firm or professional service industry
with recruiting experience, preferred.
An understanding of the legal qualification route is helpful.
Ability to effectively prioritise and respond to multiple service
requests, often while working under tight time constraints.
Reliability, commitment and punctuality and ability to maintain confidentiality.
Excellent customer service orientation with excellent
communication skills and the ability to work with attorneys and
staff at all levels.
Professional demeanour.
Computer proficient with knowledge and understanding of various
database systems including Microsoft Outlook, Word, PowerPoint, and Excel.
