Position Overview

The Administrative Assistant will work closely with the Director of Administration providing effective administrative services. To provide additional administrative support as required to business support managers and directors across all functions in the office (IT, Business Development, Human Resources, Legal Recruiting and Development, Secretarial and Paralegal Management, Operations, Finance, Risk Management, and Research Services as needed).

Job Responsibilities (This list is not exhaustive and may be supplemented and changed as necessary.)

To assist with administrative tasks:

  • Creating and managing documents and materials, files, schedules, spreadsheets, diagrams, presentations, reports and correspondence.
  • Production, formatting and/or proof-reading of documents, reports and other materials to ensure accuracy, professional and to brand standard.
  • Assisting with diary management, scheduling meetings and room bookings.
  • Travel and accommodation arrangements.
  • Dealing with queries by telephone, email and in person.
  • Processing expenses and invoices.
  • Liaising with suppliers and contractors.
  • Firm travel policy/procedures induction for new joiners.
  • Research and data gathering as assigned by Director of Administration and other managers and directors for the office.
  • Assist on ad hoc projects and initiatives.

To undertake any other tasks or responsibilities that reasonably fall within the remit of this position.

QUALIFICATIONS

  • A bachelor's degree and a minimum of 5 years' relevant experience in a professional environment.
  • Excellent command of English, Cantonese and Mandarin. Fluency in written English with ability to develop and deliver grammatically correct verbal and written communications in a variety of formats and styles.
  • Excellent customer service orientation with strong communication skills and the ability to work with attorneys and staff at all levels.
  • Ability to effectively prioritize work and respond to multiple service requests, often while working under tight time constraints.
  • Ability to think critically, solve problems pro-actively and effectively respond to rapidly-changing conditions.
  • Team player with flexible, hands-on, "can-do" attitude.
  • Ability to maintain confidentiality and discretion.
