Description

Our Sydney Intellectual Property team has a reputation for being an inclusive, collaborative and supportive team. We currently have an opportunity for an experienced legal assistant to join the Intellectual Property team and play a pivotal role in keeping the team functioning efficiently. This role is a full time role with a view to being office based 4 days a week with an option to work from home one day a week . As a valued member of the team, you will support high profile Partners and other members of the Intellectual Property team providing high quality support working both independently and as part of a team.

The successful candidate will be a proactive and solutions focused individual with the willingness to embrace and adapt to change in a positive manner, while suggesting innovative ways to add value to the practice. The successful candidate will be resilient, technically capable and collaborative with well-developed time management skills with the ability to cope under the pressure of deadlines and multitasking will be advantageous.

Previous experience as a legal secretary/assistant within a law or professional services firm environment is essential. The key responsibilities and requirements for this role are as follows:

Responsibilities

  • Extensive diary and email management
  • Business Development administration and client relationship management, assisting with pitch preparation and presentations
  • Support and manage the smooth operation of a busy Intellectual Property team
  • Overflow billing and expense coordination
  • Time Entry
  • Compilation of briefs and court documents, knowledge of online court filing systems
  • Management of internal and external calls
  • Word processing, document and file management, and general administration, including opening, closing and archiving files
  • Arranging client meetings, and general client liaison including client reporting
  • Organising travel and accommodation
  • Ad-hoc support tasks as required by the team

Requirements

  • Prior experience in a similar position ideally within a litigation or IP team
  • Excellent communication skills, attention to detail and accuracy
  • A flexible, collaborative and proactive approach, ability to prioritise the day to day management of the team with an emphasis on strong organisational skills
  • Ability to prioritise tasks and meet tight deadlines
  • Able to work autonomously and draft basic correspondence and documents
  • Previous experience in monthly billing using relevant financial software
  • Strong Microsoft Office skills
