Description

We are seeking an experienced PA to support a team of seven fee earners in our Tax team on a 14 month fixed term contract. This position is usually based out of our Bristol office, with some home working for this position too.

The role

The main purpose of this role is to provide highly professional, effective and proactive PA support to a busy team of fee earners. More specifically you will:

  • Proactively monitor and assist with email and diary management
  • Take ownership of the virtual post mailbox for the tax team, distribute post and update post spreadsheet
  • Assist with the file opening, CDD process and draft engagement letters
  • Draft correspondence, communications, create and amend legal documentation (eg Tax Advice Notes including structure diagrams)
  • Assist with personalisation of documents, including uploading, tracking and downloading of documents via Docusign
  • Play an active role in managing and taking responsibility for the billing process such as tracking specific billing arrangements, preparing WIP reports, completing billing guides, updating monthly billing spreadsheets and complete finance forms
  • Attend and take the minutes of team meetings, contributing where necessary to update the team on any new systems and processes
  • Undertake administrative tasks including membership renewals, the organisation of all travel arrangements, complete expense reclaim forms and file management (filing, closing and arranging offsite storage of files)
  • Support the team with all Business Development initiatives/marketing events suggested by the team
  • Develop strong working relationships with key clients and colleagues
  • Provide support within the team (covering for other PA absences)
  • Proactively identify opportunities, actively contribute and be involved in ad-hoc projects as given by the team
  • Troubleshoot IT issues and escalate to our IT if necessary

You'll be

We are looking for an experienced PA, who is able to use their own initiative, can demonstrate first class organisational skills and be an integral team player.

  • Good IT skills (Microsoft word, Excel, Outlook)
