Supply (CIPS) and on the job experience of the professional delivery
of procurement and supplier management activities - activities which
are key to businesses in all sectors in all parts of the world.
This role, which sits within the Supplier Management Office (SMO),
provides procurement and supplier management services to key
stakeholders within the firm. The role (after training and
introduction) will be responsible for supporting all aspects of
procurement and supplier management which includes processing the
purchasing of IT and Facilities services, software and hardware for
the firm through an agreed set of supplier relationships, supporting
contract tender processes, supporting supplier and contract management
processes, administrating the checking of supplier invoices before
payment and keeping supplier and contract data current in our
database. This is a hands-on role that - once up to speed - requires
the post holder to support all day to day procurement and supplier
management services delivered by the SMO.

Duties and Responsibilities include but not are limited to the following:
Responsible for supporting the administration of the procurement
lifecycle within RPC including but not limited to obtaining
competitive quotes from our supplier list, purchasing including
managing requests from stakeholders for good and services, obtaining
approvals to commit spend and raising purchase orders,
managing/processing invoices to ensure timely payment of our
suppliers, tracking supplier delivery times/logistics and supply issues.
Processing of invoices & reconciliation to budget and linking
with the Finance team as necessary
Responsible for supporting the monitoring of spend against budget
on an on-going basis. This includes the updating of individual
budget lines communicating budget status to stakeholders as necessary.
Responsible for supporting all supplier information management
including updating and maintaining the critical data sources that
drive the SMO's core processes. This includes updating and
maintaining the supplier contracts database and other repositories
where information is securely stored on the firm's systems.
Once trained , preparing regular and adhoc Management Information
reports on the SMO's business as usual and project related activities.
Once trained , Working with the firm's internal stakeholders and
suppliers to obtain quotations , purchase, track and renew services
as required.
Once trained , responsible for understanding and ensuring
adherence to the firm's procurement and supplier management rules .
Supporting the management of the contract renewal anniversaries
including working with supplier relationship owners to understand
their needs.
Support Delivery of tasks and/or workstreams for projects that are
led by the SMO or where the SMO is a stakeholder.
Contributing to the continuous improvement of the SMO knowledge
base with relevant knowledge to reflect changes and additions to
operating processes.
