Description

The team

The People Operations Team encompasses HR Operations (HR systems, data, people policies and processes) and Reward (compensation, benefits and wellbeing) across all offices.

The role

You will be responsible for the maintenance and support of our Human Resources Information System (HRIS). This includes people data, generating reports and providing technical support to colleagues across the business. Reporting to the People Operations Manager and working closely with IT this role will help to systemise and automate people processes and ensure the most effective and efficient use of the system.

Responsibilities include:

  • Provide first line support in respect of all queries and issues raised by users, and respond to those matters promptly, including escalating as necessary
  • Maintain employee data in the HRIS ensuring high levels of accuracy and investigate root cause of any data discrepancies
  • Create and maintain system documentation i.e., user guides and standard operating procedures to increase user proficiency
  • Assist with data cleansing exercises, the configuration and testing of HRIS system updates and enhancements , system migrations, integrations with other business applications, field mapping and the preparation of data for uploads
  • Maintain reporting lines, job relationships and cyclical events e.g., performance reviewers, annual holiday carryover and bank holiday uploads etc
  • Support with the rollout of any new HRIS modules and the globalisation and automation of people processes
  • Generate reports and analyse HR data to support decision-making and compliance
  • Develop a suite of self-serve reporting / dashboards to reduce the volume of ad-hoc requests
  • Respond to third party data and information requests e.g., D&I surveys and due diligence questionnaires (DDQs)
  • Collate people data in relation to bulk renewal of practising certificates and memberships
  • Ensure the handling of all people data complies with the requirements of the Data Protection Act, GDPR and our internal Data Security & Privacy policies
  • Support the Reward & Benefits Manager with the production and analysis of data in relations to cyclical activity e.g., salary and bonus review and annual benefit window
  • Draft communications e.g., system upgrades and annual leave carryover
  • Liaise with Finance and IT on data that is cross functional

Knowledge, skills and experience

  • Previous HRIS experience, ideally SAP Success Factors (E)
  • Highly numerate and analytical with advanced MS Excel capabilities (vlookups, formulae and pivot tables essential) with the ability to handle and manipulate large sets of data (E)
  • HRIS report writing and dashboard creation with proficiency in Visio and Power BI (D)
  • Ability to quickly master new software (E)
  • Detail orientated with a commitment to data accuracy and integrity (E)
  • Solution oriented attitude that focuses on continuous improvement; ability to diagnose issues and clearly articulate solutions (E)
  • Discreet with the ability to handle sensitive and confidential information (E)
  • Manage workload efficiently, juggle multiple priorities and meet deadlines (E)
  • Strong communication (both written and verbal) skills (E)
