The People Operations Team encompasses HR Operations (HR systems,
data, people policies and processes) and Reward (compensation,
benefits and wellbeing) across all offices.
The role
As a "Super User" you will be responsible for the
administration and maintenance of the HRIS, providing first level
support and reporting on all aspects of people related data. Reporting
to the People Operations Manager, this role will be pivotal in helping
to optimise the HRIS, systemise and automate processes and contribute
to the development and implementation of people technology solutions
across the People & Talent Development department.
Responsibilities include:
Administer the day-to-day operation of the HRIS, including system
configuration, data management, training and first level support to
all users globally
Create and maintain system documentation i.e., user guides,
standard operating procedures and system configurations
Collaborate with stakeholders to
identify opportunities for system improvements and efficiencies
and support in the rollout of any new people systems or modules
Proactively suggest new ways that the HRIS can support the
globalisation and automation of people processes
Support data cleansing exercises, system migrations, integrations,
field mapping and the preparation of data for uploads
Carryout bulk uploads i.e., absence, salary, bonus and promotions etc
Maintain reporting lines, job relationships and cyclical events
e.g., QC cycle and reviewers, annual holiday carryover and bank
holidays uploads etc
Generate regular and ad-hoc reports to support HR analytics and
decision-making including but not limited to; people data audits,
salaries, leavers, wellbeing, benefits, R&Rs and bonuses, QCs,
headcount, immigration and IR35 audits, EXCO report and Pirical on Demand
Gather requirements and develop a suite of self-serve reporting /
HR dashboards driving data availability and self-service to reduce
the volume of ad-hoc requests
Oversee the development and creation of reports and perform
testing activities; investigate root cause of data discrepancies,
accessibility issues and technical issues
Respond to third party data and information requests e.g., D&I
surveys, pitch information and due diligence questionnaires liaising
with Client Services and Responsible Business teams as relevant
Ensure processes and data handling follow GDPR regulations and our
Data Security & Privacy policies and guidelines
Act as the conduit between People Advisory teams and Risk &
Compliance in the completion of the annual SRA renewal and CILEX renewal
Support the Reward & Benefits Manager with the production and
analysis of data and UAT relating to cyclical activity e.g., salary
and bonus review and annual benefit selection window
Draft communications e.g., system upgrades and annual leave carryover
Liaise with Finance, IT and other business services departments on
data that is cross functional to maintain a high level of data
integrity and collaborate with these departments to integrate HR systems with other business applications
Knowledge, skills and experience
Previous HRIS experience (ideally SAP Success Factors), data
analysis, reporting and system troubleshooting
Strong technical skills in report writing and dashboard creation
with proficiency in Visio and PowerBI
Ability to quickly master new software
Detail orientated with a commitment to data accuracy and integrity
Highly numerate and analytical with advanced MS Excel capabilities
and ability to handle and manipulate large sets of data
Solution oriented attitude that focuses on continuous improvement;
ability to diagnose issues and clearly articulate solutions
Knowledge of HR processes and data management best practices and regulations
Discreet with the ability to handle sensitive and confidential information
Manage workload efficiently, juggle multiple priorities and meet deadlines
Strong communication (both written and verbal) skills
Ability to work independently and collaborate effectively with
cross-functional teams
