Squire Patton Boggs provides elite administrative and secretarial support to the Firm's attorneys and professionals through the Secretarial and Document Services (SDS) team. As a member of this team, the Legal Secretary/SDS Specialist will specifically provide support to the Litigation practice group as well as other practice groups throughout the Firm. This position requires high-level technical and professional skills, excellent client service skills, as well as an ability to manage competing priorities, identify the order of work to be completed, and communicate work requirements to attorneys and professionals. The Legal Secretary/SDS Specialist will provide full secretarial support to include typing and preparing legal documents; tracking changes and maintaining document versions; and preparing closing documents and binders as well as other legal documents including pleadings, agreements, contracts, and corporate documents. The Legal Secretary/SDS Specialist must have advanced software skills in Microsoft Word, Excel, and PowerPoint. This position requires a broad knowledge and understanding of practice groups across the Firm as well as Firm administrative functions. The Legal Secretary/SDS Specialist will prepare correspondence, documents, billing, expense reporting, travel arrangements, and related tasks as required to successfully complete the work of the SDS.

RESPONSIBILITIES :

  • Compose general correspondence, reports, memoranda, spreadsheets, expense reports, and complex documents that may require advanced word processing skills.
  • Type legal documents, correspondence, and reports from rough draft, dictation, or transcription.
  • Assist with document conversion and clean up; create and revise complex legal documents adhering to Firm styles and guidelines.
  • Open new files, request conflict of interest checks, and perform other administrative functions as needed.
  • Assist with local office tasks and projects as needed.

REQUIREMENTS :

  • High School Diploma or equivalent required
  • Minimum five (5) years of legal secretary or related experience in the Litigation practice group as well as a variety of other practice groups
  • Must have working knowledge of the Litigation practice group as well as a variety of other Firm practice groups
  • Must possess strong problem-solving skills
  • Must possess the ability to identify and propose resolutions to problems in a timely manner through the use of internal resources which may include asking questions, gathering facts, and reviewing records
  • Excellent oral communication skills
  • Ability to respond to questions from attorneys and staff
  • Strong written communication skills that ensure written work product is appropriate to the audience and is written in a clear and concise manner that effectively gets the message across
  • Must demonstrates accuracy and thoroughness
  • Must exhibit sound and accurate judgement
  • Can prioritize and plan work activities, use time efficiently, and develop and communicate status
  • Excellent project management skills, organizational skills, and ability to manage competing priorities
  • Ability to set priorities, meet deadlines, and work in a fast-paced, changing environment
  • Ability to stay abreast of technical position requirements and industry standards and best practices
  • Ability to act in accordance with the Firm's policies and procedures
  • Ability to view projects beyond individual role and work diligently, respectfully, and with a team-oriented focus to foster a positive work environment
  • Ability to demonstrate versatility of knowledge, skill, and assistance in a dynamic law firm environment by generating and implementing new ideas
  • Intensive document organization and preparation skills required

This position is eligible for overtime compensation. Occasionally, this position may require an alternative work schedule to provide back-up coverage for the department when a team member is on leave, and remote working may be available.
