Our Opportunity
As a Business Operations Assistant you will be involved in:
Reprographics
Printing, scanning and photocopying documents, including large
format printing of plans. Binding and finishing as required using
the appropriate equipment
Sending documents out to external suppliers when necessary,
ensuring all work is completed to a high standard
Ordering print consumables, completing photocopier meter readings
and arranging with engineers to attend site to any faults.
Prioritising urgent work and liaising with clients where necessary
Post Room
Sorting, scanning and distributing all incoming post to all
members of the firm, collecting all outbound mail from floor hubs
and advising senders on the most cost effective methods.
Checking all unreferenced mail against the firms computerised
matter records
Updating the finance department daily on chargeable and
non-chargeable deliveries
You will also carry out day to day tasks, including ordering
stationery supplies and ensuring floor hubs are fully replenished,
completing job request through our central request system, ordering of
business cards for new starters and assisting the wider department
with office moves and floor inspections.
Archiving
Responsible for managing the process of all incoming and outgoing
files and deeds to and from storage ensuring that all urgent
requests are dealt with in a timely fashion advising clients of the
most cost effective methods.
Carrying out audits of the database and in house deeds to ensure
that all items are logged in and accurately and efficiently.
General archiving queries.
Full training of all systems and procedures will be provided.
The team work 35 hours per week, Monday to Friday, on a shift rota
between 8:00am and 6:00pm with a one hour break for lunch, although
flexibility is required.
You
Previous experience of working in a mail, reprographics and archiving
role is beneficial, but not essential. Experience in a professional
office environment will also be beneficial but not essential. Good IT
skills, with a working knowledge of Microsoft packages (especially
Outlook email) and being comfortable learning new systems is required.
You will need to be a team player who enjoys collaborating with and
supporting other members of the team. You must be able to communicate
effectively at all levels and have the ability to listen and interpret instructions.
You'll be a reliable team member and excellent time-keeper, taking
pride in your work and understanding the need for quality and
attention to detail. A positive attitude and professional manner are
important in this role. A client focused 'can-do' approach to tasks,
with an ability to use your own initiative to ensure delivery is key.
You will need to be flexible and willing to work overtime on occasion
if required.
