The Role

The Facilities department provides support across the entire firm, leading on several key and important projects. Due to increase in firm-wide projects the team now require administrative and secretarial support to service the requirements. They are looking for an enthusiastic individual to join the team to lead and support on all administrivia aspects involved.

Key Responsibilities

  • Diary Management, booking meetings for external and internal parties
  • Preparation of presentation materials in PowerPoint, Excel and Word
  • Preparing agendas, taking minutes and notes at meetings and circulating to participants with follow up actions
  • Administrative support for online Health & Safety programmes across the firm, including running reports and completion certificates
  • Support the new joiner process from a DSE viewpoint
  • Assisting with contractor management
  • Collating data and following up on outstanding information for audits
  • Arrange and liase with various committees on several projects
  • Collecting data to enable reporting on environmental targets/performance. Dealing with various companies to compile reports

Personal Specification - Knowledge, Skills & Experience

Experience & Knowledge

  • Previous experience in administrative role
  • Excellent time management.
  • An understanding of customer care and client relationship.
  • Highly driven individual who displays a high degree of initiative.
  • Performing data entry tasks
