Bird & Bird's Brussels team is looking to recruit a new management assistant to join our team. If you like taking initiative and being the team's go-to person, this may be a great opportunity for you and Bird & Bird.


What will you do?

After a few weeks of training by an experienced colleague, you will be mainly responsible for:

  • Ensuring a smooth running of the day-to-day activities of the team;
  • Managing email correspondence, ensuring client requests are handled by the team;
  • Organising regular worldwide business travel, conference calls, as well as internal & external meetings and filing the expense claims;
  • Coordinating the invoicing process, helping the Bird & Bird billing team issue invoices to the clients by:
    • Opening and closing client matters in cooperation with the compliance team in London;
    • Sending engagement letters to clients if needed;
    • Checking whether to invoices are correct;
    • Collaborating and building strong working relationships with the Bird & Bird billing team to pro-actively resolve issues;
  • As well as handling some other general support tasks such as:
    • Formatting and proofreading documents and presentations;
    • Ensuring electronic filing of documents and archiving;
    • Occasionally, translating short documents using translation software.
    • Maintaining the client contact database; and
    • Carrying out general secretarial tasks.
What profile are we looking for?

As successful candidate, you will have:

  • At least 3 years of experience, ideally as a management assistant in the professional services sector;
  • Excellent level of English and a good command of French and/or Dutch with at least a basic knowledge of the other language and keen to improve your language skills through our language classes;
  • Strong IT skills and keen to learn how to use other software packages;
  • A strong sense of proactivity with strong attention to detail;
  • A 'can do', flexible approach to workload and changing priorities;
  • Outstanding coordination capabilities, setting high standards for yourself;
  • Excellent communication skills, both written and verbal;
  • The ability to handle confidential information;
  • Flexibility to jump in for colleagues when they need some extra support.

Once you are ready, you will have the space to work independently, take your own initiative and grow in the role.

Working from home part of the time is not an issue, for which you will receive your own laptop and materials.

At the office, you will informally meet other members of the Brussels team at the coffee machine or during one of our many social events we organise to make sure we all have the chance to get to know each other and keep in touch. We organise informal events such as monthly lunches, after work social gatherings, an annual ski trip, etc.

The office is easily accessible by public transport and has an underground parking should you come to the office with your own car.
